Who we are

Grand Management Services, Inc. runs this website. This notice covers what the site collects and what happens to it.

What we collect

What you type into a form here: for example your name, phone, email and address, a repair request and its photos, a notice to vacate, a guest registration, a complaint, an owner evaluation request, or a commercial space application.

An online application for one of our subsidized communities asks what its paper application asks: each household member's name, date of birth and Social Security number, income, assets, rental history, references and the screening questions, and, if you choose, race, ethnicity and sex. You can add photos of photo IDs and Social Security cards. For a HUD-assisted community it also offers form HUD-92006, an optional contact person.

Signing an application online asks each adult for an email address, where a one-time code is sent. We keep a record of each signature: the typed name, the email it was confirmed through, the time, the IP address and browser, and a fingerprint of the exact answers signed.

Reasonable accommodation and assistance animal requests can include health or disability information. We use it only to decide the request, and share it only with the verifier you name and the staff who handle the request.

The commercial space application asks for the responsible party's Social Security number and date of birth for the credit, criminal and background check. It is used only for that application.

Basic technical data, such as your IP address and browser type, which our host Cloudflare processes to deliver the site, block attacks and run the spam check on our forms.

Where it goes

Answers to the everyday forms go to our office by email. The website does not keep a copy.

Online applications, the commercial space application and the reasonable accommodation and assistance animal requests are encrypted in your browser before they leave your device. What is sent can be opened only with a key held by our office staff, or with the office's recovery key.

The commercial space application and the accommodation and assistance animal requests reach our office as an encrypted email attachment, and the website keeps no copy. Online applications are stored on this website, encrypted, until our office saves them to your file.

Email from this website goes to our office, and to you only when you ask: a confirmation when you check the box for one, or the code to sign an application online. It is sent through Resend, our email service.

AppFolio, our property management system, runs the rental listings and the tenant payment portal. Applications made on AppFolio follow AppFolio's privacy policy; applications made on this website are handled as described above.

What we never do

We do not sell or rent your information. This site has no advertising trackers and no social media pixels, and it sets no cookies. The apply page remembers, for your current browser session only, that you checked its two statements.

How long we keep it

As long as we need it for your application, tenancy or request, and as long as the law and our housing programs require.

An online application stays on this website, encrypted, until our office saves it to your file, and is destroyed 30 days after that. An application that was never finished sending is deleted after a day. The record of an online signature stays with your file for as long as the housing program requires.

Your choices

You can ask what we have from this website, ask us to correct it, or ask us to delete it where the law and our housing programs allow.

Children

This site is for adults looking for housing or managing property. We do not knowingly collect information from children under 13.

Changes

If this notice changes, the date at the top changes with it.
